Privacy Notice

This notice explains how CHAMP Solutions Ltd handles personal information across our public website, business enquiries, demonstrations, Data Center onboarding, service delivery, and related communications.

Effective date: 27 August 2026

This is a general operational privacy notice, not legal advice. CHAMP should have qualified counsel confirm it against the company’s registered entity details, contractual commitments, actual vendors, and every jurisdiction in which it operates.

1. Who we are and the scope of this notice

CHAMP Solutions Ltd (“CHAMP”, “we”, “us”, or “our”) provides enterprise technology, implementation, support, cybersecurity, and Data Center services from Ghana to organisations across Africa. For information collected through this website, CHAMP generally acts as the data controller or equivalent responsible organisation.

This notice covers website visitors, prospective and current business customers, customer personnel, authorized Data Center users, suppliers, partners, and other professional contacts. A signed service agreement, data processing agreement, or customer-specific notice may provide additional terms and will control if it expressly conflicts with this notice.

For personal data that CHAMP processes on a customer’s documented instructions while delivering a contracted service, CHAMP may act as a processor or service provider and the customer may remain the controller. The applicable service agreement and data processing terms define the parties’ responsibilities, permitted processing, security requirements, assistance, and deletion or return obligations.

2. Information we collect

  • Identity and business contact data: name, job title, organisation, email, phone number, country, and preferred contact method.
  • Enquiry and commercial data: messages, service interests, demonstration requests, project timelines, procurement details, purchase-order references, billing contacts, and correspondence.
  • Data Center onboarding data: registered address, business identifiers, infrastructure, rack, power and network requirements, compliance needs, authorized-access personnel, ID references, escalation contacts, support preferences, electronic signatures, and witness details.
  • Technical and usage data: IP address, browser and device information, timestamps, requested pages, security events, and consent or preference records. Optional analytics data is collected only if such tools are enabled and consent is required.
  • Service and support data: implementation records, system configuration, support tickets, incident communications, service performance, and information needed to meet contractual or regulatory obligations.

3. How we collect information

We collect information directly from you, your organisation or authorised representatives; automatically when you use our website or systems; from service, implementation and support interactions; and, where lawful, from partners, public business sources, referrals, regulators, or professional advisers.

Please provide personal information about another person only when you are authorised to do so and have given them any notice required by law.

Some information is needed to respond to an enquiry, assess onboarding, provide a requested service, meet a legal obligation, or protect a system. If you do not provide it, CHAMP may be unable to respond, complete onboarding, grant access, deliver a service, or meet a requested recovery or support requirement. Optional information will be identified where practical.

4. Why we use information and our lawful grounds

Depending on the context and applicable law, our grounds include consent, steps before contract, performance of a contract, compliance with legal obligations, protection of vital interests, and legitimate interests that are not overridden by your rights. Where Ghana’s Data Protection Act, 2012 (Act 843) or other applicable privacy laws apply, we process information in accordance with their requirements.

  • To respond to enquiries, arrange demonstrations, prepare proposals, and take steps requested before entering a contract.
  • To assess, configure, provision, secure, operate, support, bill, and improve contracted services.
  • To authenticate authorised personnel, manage physical and logical access, maintain audit trails, and respond to incidents.
  • To comply with law, regulation, court orders, tax, accounting, sanctions, anti-fraud, security, and record-keeping requirements.
  • To protect CHAMP, customers, users, systems, facilities, and the public from misuse, fraud, cyber threats, or unlawful activity.
  • To send relevant business communications based on consent or legitimate business interests, with an appropriate way to opt out where required.

5. Data Center questionnaires and electronic signatures

A completed questionnaire may contain confidential infrastructure, security, access, and business information. Browser drafts are stored locally on the device until cleared. When secure submission is enabled, the completed form is converted to PDF and sent through CHAMP’s controlled server-side email channel to the authorised onboarding mailbox.

An electronic signature confirms the submitting representative’s acknowledgement and authority for onboarding purposes. It does not by itself create a service contract or replace a Master Service Agreement, Order Form, data processing agreement, or other document that CHAMP requires to be separately executed.

6. Cookies and local storage

We use essential browser storage for theme preferences, cookie choices, and questionnaire drafts. Optional analytics or similar technologies must not be activated before any consent required by law. Details and controls are provided in our Cookie Policy.

7. When we share information

We do not sell personal information. We disclose only what is reasonably necessary to:

  • Hosting, infrastructure, security, email-delivery, analytics, communications, and professional-service providers operating under appropriate confidentiality and data-protection obligations.
  • Axiom Inc. or other authorised technology partners where necessary to assess, implement, license, support, or secure a requested solution.
  • Payment, banking, or transaction providers if CHAMP enables a payment or purchase workflow and their involvement is necessary to complete it. No payment provider is implied by this public notice unless that workflow is actually enabled.
  • Auditors, insurers, banks, legal advisers, regulators, law-enforcement bodies, courts, or public authorities when required or reasonably necessary.
  • A buyer, investor, successor, or adviser in a genuine corporate transaction, subject to confidentiality and lawful processing safeguards.

8. International transfers

CHAMP operates across Africa and may use providers or partners in other countries. When information is transferred internationally, we assess the destination, purpose, sensitivity, and recipient and use appropriate contractual, organisational, and technical safeguards required by applicable law. Contact us for information about safeguards relevant to a particular transfer.

9. Retention

We keep information only as long as reasonably necessary for the purpose collected, contractual and service obligations, security, dispute management, and legal or regulatory records. Enquiry data is normally reviewed for deletion or anonymisation when no longer active; onboarding and service records may be retained for the customer relationship and a reasonable period afterwards; security and audit records are retained according to risk and compliance needs.

Local questionnaire drafts remain in the browser until the user clears them, clears site data, or the browser removes them. CHAMP cannot remotely remove a draft stored only on a user’s device.

10. Security

We apply risk-based administrative, technical, and physical safeguards designed to protect confidentiality, integrity, and availability. Measures may include access controls, least privilege, secure transmission, logging, monitoring, backup, supplier assessment, personnel obligations, incident response, and secure disposal. No system is completely secure, and users must protect their devices, accounts, and copies of downloaded questionnaires.

If CHAMP becomes aware of a personal-data compromise, we will assess and contain it, preserve appropriate records, and notify the relevant authority, affected customers, or individuals where required by applicable law or contractual obligations. Notification timing and content depend on the nature of the incident, the data affected, the risk, and the parties’ agreed responsibilities.

11. Your rights and choices

Subject to applicable law and exemptions, you may request access, correction, deletion, restriction, objection, portability, withdrawal of consent, or information about our use of your personal data. You may object to or opt out of direct marketing at any time. You may also complain to the Ghana Data Protection Commission or another competent data-protection authority. We may verify identity and authority before acting and may retain information where law or legitimate obligations require it.

To exercise a right, contact info@champsolutionz.com. Withdrawing consent does not affect processing already carried out lawfully and may not affect processing based on another lawful ground.

12. Children, automated decisions, and sensitive information

Our website and enterprise services are intended for business users and are not directed to children. We do not knowingly collect children’s data through public website forms. We do not use website enquiry or onboarding data to make solely automated decisions that produce legal or similarly significant effects.

Do not submit passwords, private keys, payment-card numbers, medical records, or other unnecessary sensitive data through public forms. Use the secure channels specified by your CHAMP account team.

13. Changes and contact

We may update this notice when services, laws, or vendors change. The effective date identifies the current version; material changes will be highlighted where reasonably practical.
